So I'd love to host a bunch of Game Nights in my groups...

...But I suck at throwing them. So I thought I'd appeal to the Bungie Community at large for advice. What do you guys do to make your game nights successful? There are at least two or three private groups that I'd love to spur activity in, but I am hesitant to take the initiative when my previous attempts have mildly resulted in failure. In particular, I find setting a solid time and date that everyone can meet at to be rather difficult. Do you just set a solid time and date and hope people show up? How lenient should you be with adjusting the event if people say they can't make it? Do I just need to schedule the game night super far in advance? It seems to be my biggest difficulty, though general advice would be super helpful. Thanks in advance, hopefully we can all learn something from this.

The game nights I've hosted can be about 3, 4 or 5 hours in length.
It depends on the crowd of people you're playing with. I can't have people join at 7pm and expect them to play until 11 or midnight when most of them have work/school/kids for the next morning. If it's on a weekend sure, but keep in mind that people do have other things to do. If you host them more frequently, say even once a week, that one hour won't seem so short. That also keeps it informal. If you're hosting a tournament or something and have 50-60 people playing with multiple lobbies, that's a different story.

 • A general rule of thumb I keep is to have a common time that is good for most since we all live in different timezones (evenings work best). Friends like to play with friends, so if you design a private group around a group of friends, it's relatively easy for people to get along with each other. I usually have the date agreed and posted on a week before it happens and have a "sign up" thread. From there, people can either sign up as "Yes, I know I can be there" or "I'm not so sure". For the people who can make it, I send them a few reminder PM's throughout the week. I expect things to change at last minute, it always happens. Although a tip I gathered from DeeJ is that always start on time. You don't know what the schedule of other people is actually like. If you have a set time for an event make sure it's that time. People have jobs, kids, life, homework and jobs. So if people don't show up, start sending out invites to your alternate list/subs. My last tip is keep them as an informal social event. Make sure the guys that actually signed up for the event actually get into the lobby to play, otherwise you have guys that won't show up for the next one. I usually don't keep mine going for more than an hour, that tends to get too long. However if people want to stay and play more afterwords they can. The more you host, the easier it will get.

 • Consistency and good company. I've been playing with For Carnage Apply Within for over two years now and I don't think there's ever been a Friday or Tuesday/Wednesday where there hasn't been a gamenight. 9PM Fridays, 8PM midweek games, easy to remember so people show up. The only way you can keep people coming back is forming your own little community, that close-knit feel is really important. There's only been a few occasions that I can remember where not enough people have shown up for games, so somethings working. A really dedicated host (shout out to Atom our glorious leader), a schedule, a variety of games and good friendship vibes seem to be key. (No surprise there.)

 • I find it best to just have most, if not all of the people on your friends list and have little informal gamenights.

 • Poll people beforehand to find out what games they want to play and when they can play. Then set a date and time, and try not to change it unless there's a good reason. When plans don't get made until the last minute, people tend to hesitate to show up.

 • Tip#1: Don't be Hylebos. Nobody likes that guy. Try being EAKLE. Everyone in all your groups likes him better anyway. Tip#2: It has to be games people want to play. IE in BUNGLE throw a BUNGLE bash, not suggest GoW to them. Find out what they're interested. TIP#3: Don't be EAKLE, on second thought. He sucks at keeping a schedule for things like this. Try to have them at the same time, consistently, so people can expect them.

I'm in Japan so please post times zones too :)
Posted by: LordMonkey OT: Like everyone else said, Friday (or weekend) nights, long periods of time, and I might suggest having hosted lobbies by time zone.
LM is right on here. Furthermore, I would try working with a small group at first and then gathering more later. I used to tutor Statistics and I would work with one person at a time. After a while, word got around and I held study groups of 4-6, then 6-10, and after a year or so I wrote practice tests that more than 100 students would use and I would go over prior to each exam. Start small, form a core group of reliable individuals, and then build your mechanism for world domination from there. Good luck! JTS

 • Generally the problem in smaller groups is that not enough people can get on at one time to actually have a game night. Solution: get more members.

 •
Posted by: Izak609 From my very little experience and observations in setting up game nights, I've noticed the general idea is to be organized, firm but open to change. And my rule-of-thumb would be to keep your plans static for a week before the planned game night, at least. For example, pick a date and time around the weekend, two weeks in advance, attempt to pick a time that accommodates for all time-zones. Then plan out what you want to do, prepare all you can, make an invitee list, and if you believe you may need to, send users private messages with an invite, reminder, and information about the game night. But again, I'm not very experienced with setting up game nights.
Seems reasonable. [Edited on 09.08.2012 11:04 PM PDT]

 •
Posted by: lime013 Also, what are some of your groups? I'd love to be a part of some game nights.
Well, one group is centered around Magic the Gathering, another group is centered around League of Legends, and the third is more of a general discussion group and could theoretically host any sort of game night.
